Head Start Data Management™ provides a consolidated social services data tracking and reporting tool to support continuity of care. Specific modules manage each facet of the Head Start program; predefined reports meet outside regulatory requirements and demonstrate therapeutic outcomes.

Joint Application Development Requirements

Working with the Head Start social services professionals, Head Start Data Management™ system was envisioned to include the following features:

Ø        User-friendly interface to construct logical data groups to parallel the paper forms used within the program

Ø        Manage classroom attendance and record meals for reimbursement

Ø        Levels of security within and across roles to share vital information among program professionals

Ø        Manage and track medical and dental health care

Ø        Coordinate the use of a variety of professions and/or professional services; track outcomes

Ø        Manage and track family and behavioral health services

Ø        Manage the program admission process utilizing specific criteria

Ø        Consistent flow of updated information for informed decisions; remote “check in” of information from the field

Ø        Yearly and monthly reports for internal use and to meet external requirements

 

Technologies Utilized

The application was built using Visual Basic and Microsoft Access.  The framework for the data management tool was designed around a “Logical Data Groups” model.  A Logical Data Group is similar to a traditional paper form in that it organizes the collection of data in a meaningful way; it differs from a traditional paper form in that the data is collected once and can be used throughout any number of other Logical Data Groups. 

 

The flexible and scalable administrative component of the application allows for the addition, deletion and re-arrangement of individual data elements within each Logical Data Group.  The security component allows for full control of access to application functions and specific child information.  Users may be granted access that parallels their professional roles and daily responsibilities. 

 

Reports were created in HTML format using end user approved forms and graphics selection.  The reports created reflect the summary of data and calculated statistics.
